What is SureFood?

SureFood from Nutritics is an intelligent new platform designed to solve the daily challenges of managing supplier data. It transforms the complex, manual process of handling food information by using powerful automations to centralise, validate, and share your product data across the supply chain.

The result is a single source of truth for your food data that saves you valuable time. By centralising your information in SureFood, you reduce data entry across all other platforms and ensure everyone in your supply chain has access to the same high-quality, up-to-date information.

Logging In

Start by logging in via https://www.nutritics.com/app/

  1. Enter the username or email address associated with your Nutritics account.
  2. Enter your Nutritics account password.
  3. Click the Arrow Button or press Enter on your keyboard.

A Quick Tour

Upon logging in, your screen will look similar to this. Depending on what features you have enabled on your account, you may see some extra menu options, but this is what all SureFood users will see:

  • In the top-left of the screen, you will see the Start Button which will open the Start Menu, this is the central hub for adding data into your account.
  • Below the Start Button, you will see the Explorer Menu with the Search Bar, the My Foods and My Recipes tabs and all of the different folders in your account.
  • In the top-right of your screen, you will see the Toolbar with the Settings Icon, the Help Icon, the Notifications Icon, and the Dark Mode Switch:

Settings & Profile

To access your account settings, hover your mouse cursor over the Settings Icon in the top-right corner of your screen and click on Settings:

This will open the Settings Panel:

The most important sections of the Settings Panel for SureFood users are Your Profile, Your Databases, and Your Data Sources.

The Your Profile section has two tabs: [Data Source Name] Profile and Site Profile. In our example below, our data source or src code is SURFOD:

The [Data Source Name] Profile tab is a new feature exclusive to SureFood users. This is where you can input all the data associated with your “Data Source” on Nutritics and preview your Profile Card. You will find the option to preview your profile to the bottom of this tab:

The Site Profile tab is a part of all Nutritics accounts and it allows you to set the details for the account you are currently signed into.

Profile Card

You can complete all fields in Your Profile, and add any key contact points for sales, technical or other that you want included. 

Business certifications such as insurance details, allergen management policy, a company blurb and more can also be uploaded here to make them viewable for all customers that use your source.

This can be accessed through Settings > Your Profile.

A new document can be added using the + Document tab at the bottom of the profile. To set the document type, you can use the use the dropdown arrow under the Type panel:

When finished, scroll down to the very bottom of the tab and click on the Preview Button to see how your profile will present to customers: 

Your Profile Card will appear in the centre of the screen and it will look like this. The Company tab will include all contacts and certifications added:

From the category tab, customers will have visibility over how many foods are published to your data source.

On the Company tab, you can see all the information associated with your organisation in a shareable, digital business card, this is also viewable for your customers. 

From the Products tab, you will be shown a breakdown of your “Data Source” that looks like this:

The Products tab includes a breakdown of your product’s Top Categories and a Country of Origin map. 

It also includes a Browse Products… button that anyone can click on to view your product catalogue without a Nutritics account. 

This will also allow users to search for items within your catalogue.

Your Databases & Data Sources

Below the Your Profile section of the Settings Panel is Your Databases section::

Here you can see the name of all of the databases managed by your account.

You can Name each of your databases and provide a different Support Email for each one.

To add a new database to your account, click on the New Product Database button and you will be prompted to contact Nutritics Customer Support.:

Two sections below Your Databases section on the Settings Panel is the Data Sources section. Clicking on it will bring you to the Data Sources section, which looks like this:

Here you can update the Data Sources visible on your account. You can use the Country / Region drop-down to select Data Sources specific to certain regions, or you can select Custom Sources and simply scroll through the list of available Data Sources and toggle each one on or off.

You also have the option to use the Find A Supplier search tab and manually search for a supplier to filter through the list.

As a SureFood user, you also may have noticed the SureFood logo at the top of the Data Sources section. This is the SureFood Quality Cert.

At the very top of the Data Sources section of the Settings Panel, you’ll see a SureFood specific feature called the SureFood Quality Cert (SQC):

If you are a Supplier and your data is regularly updated, comprehensive and accurate, this will be reflected when your clients review their Data Sources

This is a tool for building trust with existing and future clients and helps to position your organisation as leaders in data integrity.

For Suppliers, we will regularly scan the data in your account and identify any issues with your data. We will then send you an error report which can be used to update any existing errors. 

This is both a way for your organisation to demonstrate its commitment to data integrity and an incentive to keep data up-to-date and free of errors.

To view your SQC, you can click on the View Report button. A new tab will open showing you the full report which looks like this:

You can see your overall score at the top and the individual scores that contribute to your overall score. Each score has a brief explanation.

If you want to Print, Download, or Share your report, you can click on the appropriate button at the bottom of the page.

SQC Calculations

Before a food product is included in the SQC calculation, it must first be successfully published. This means it has passed our essential validation checks, including:

  • Nutrition and allergen data validation.
  • Completion of all required fields (e.g., product code, ingredient list, food name, energy value).

Only products that meet these criteria are counted in your SQAC’s Total Food Count

First, we grade eligible product data against a list of rules, each with a different weight.

Pass Rate: We find the percentage of a Supplier’s products that pass a specific rule.

Example: The Product Age > 1 Year rule checks if data has been republished within the last year. If 40 out of 53 foods are valid, the pass rate is (40 / 53) * 100 = 75.47%.

Weighted Score: We multiply this pass rate by the rule’s assigned weight.

Example: The rule has a weight of 10. The base score is 75.47 * 10 = 754.7.

This is done for every rule, creating a set of Base Scores.

Once Base Scores have been established, Penalties can then be applied to encourage timely data fixes.

These penalties are only applied after a Grace Period has passed without outstanding issues being addressed (i.e. the Base Score for a given rule has not improved). This Grace Period is Supplier-specific. (e.g. 10 days for Supplier 1 & 30 days for Supplier 2) 

Daily Penalty: Penalties grow by a fixed percentage for each day an issue is outstanding after the grace period (e.g. 0.5% – this applies across all rules equally, but is adjustable on a system-wide basis) 

Penalty Cap: Penalties are capped at a maximum percentage, calculated based on the rule’s weight relative to all other rules.

Example: The Specification Sheets Missing rule has a weight of 15 and accounts for 29.4% of the overall score weight. If the penalty ratio is set to 0.5 then the maximum penalty a Supplier can receive for breaking this rule is 14.7%. (i.e. half of 29.4%)

Branded Web Portal

SureFood includes a dedicated Branded Web Portal for Suppliers that can be shared with organisations outside Nutritics. If the Profile Card is a shareable, digital business card, the Branded Web Portal is a shareable, digital product catalogue.

Anyone you share your Branded Web Portal with will be able to search through all the validated, published data you have on Nutritics,  review your company information and certifications, get an overview of your company’s supply chain, and access information about how to retrieve your company’s Nutritics data via the Nutritics API.

To access and share your portal, click on the Share Portal  button in the top-right of your screen:

You will be brought to your Branded Web Portal with the Sharing Options open:

In Sharing Options, there are 4 tabs to choose from: Link, Email, QR, and Embed

The Link tab provides you with a web address you can copy and send to whoever you want:

The Email tab allows you to enter an email address and send access via email:

The QR tab shows you the QR code for your Branded Web Portal and allows you to download it for sharing:

The Embed tab provides you with a HTML <iframe> that allows you to embed a link to your Branded Web Portal on your website:

When the Sharing Options are closed, you will see the three main Branded Web Portal tabs: Company, Supply Chain, and API.

By default, you will be on the Company tab. Similar to the Profile Card, this includes your company’s logo, a description of your company, all of your company’s contact information, and any certificates & accreditations you have uploaded to your account:

The Supply Chain tab gives you a visual overview of your global supply chain, this includes a breakdown of your most popular food categories, a map showing the different countries of origin of your products and a percentage breakdown of the same. The Supply Chain tab looks like this:

The API tab includes instructions for accessing your data via the Nutritics API. This will allow your customers to pull your data via the Nutritics API without any overhead for you. The API tab looks like this:

The most important part of the Branded Web Portal is the Product Catalogue

This provides a way for you to share all of the validated, published data you have on Nutritics, even with non-Nutritics users. 

The Product Catalogue can be found in the top-left corner of the Supplier Portal:

Here you can search through a Supplier’s entire published catalogue by typing in the name of a Food or clicking on one of the listed Food Categories.

When you search by name or category, all the matching foods in the Supplier’s catalogue will appear in the results. Clicking on a food in the results will open a detailed Nutritics Product Specification for that food.

For Suppliers, this is an easy way to centralise your product catalogue and share all of the validated, published data you have on Nutritics with any of your clients instantly even if the client is not registered on Nutritics. 

Import, Validation & Publishing

Import Overview

The most powerful feature of SureFood is our new AI-Assisted Batch Import

This works by utilising AI to do something called Optical Character Recognition (OCR). This essentially scans any documents uploaded to it looking for data. This data is then given to our AI to interpret and match to existing Nutritics data fields.

Don’t worry, we know that AI can sometimes make mistakes, so any matches the AI makes for you will have to be validated by a human user before being uploaded to your Nutritics account or published to your “Data Source”.

AI-Assisted Batch Import

AI-Assisted Batch Import is probably the most important and powerful feature of SureFood. It leverages AI models to make data entry and validation much faster and much easier.

Start by clicking on the Start Button

This will open the Start Menu which gives you quick access to all of SureFood’s features. This menu might look a little different depending on what features you have enabled. It will generally look like this:

To use AI-Assisted Batch Import, click on Batch Import or under the Create tab, you can choose New Food > Batch Import.

Clicking Batch Import will open the Batch Importer panel:

To upload your product data using the Batch Importer, simply drag your files into the File Window or click on the File Window to add files from your computer.

Uploads can be completed using any file template or format, with the option to upload either a single file or multiple files at once:

Your Import Type will automatically generate from your global account settings, for example EU.

Note: If you’re uploading Multiple Products, you will have to use a Spreadsheet.

If you are uploading Single Products, you can use PDFs, Text Documents, or Images. When more than 5 files are uploaded at once, the import will automatically become scheduled and you will receive a notification once it’s complete.

The files you add will appear in the File Window. Once you have added your files, click on Analyse to start the Batch Import.

The structure of your files will now be analysed by the Batch Importer

Once analysed, your product data will be added to an Import Queue and you will be shown your Import Report which looks like this:

Note: The time it takes for your Batch Import to complete depends on the volume of data you are importing. More data means longer processing times so it may take some time for the upload to complete, this waiting time is expected and you will be notified when your import is complete.

If your upload has used an alternative file, you will be prompted to confirm the mapping in your Foods Import Report to ensure the columns in your file match the system columns:

Once this is complete, you can click Confirm Mapping:

Your import will then begin and you will be notified via email as soon as it’s ready:

You can also keep track of your import from your notification panel:

Validation Panel

The SureFood Validation Panel is the second-most powerful feature in SureFood. 

Rather than being presented with a list of errors to be fixed before importing the data again, SureFood users can fix any errors immediately in the Nutritics app.

There are multiple ways to access the Validation Panel. The first being clicking the Open Folder button in your Import Report:

The second way is via the in-app notification you receive when your import is complete. To access your notifications, click on the Notifications Icon in the top-right corner of your screen:

If you’ve just completed an import, the notification for it should be right at the top:

Like the Import Report, this notification will also have an Open Folder button that will take you to the Validation Panel:

Finally, the Validation Panel can be also accessed by clicking on the My Products section of the Main Menu and clicking on Action Required:

Note: Products will not be automatically added to your account from the AI-Assisted Batch Import unless it has passed all of our validation checks and been reviewed and confirmed by a human user. The products with errors you see in the Validation Panel are placeholders that are temporarily stored in our database pending correction and approval.

*All products being imported to Nutritics must pass our data integrity validation checks.

AI-Assisted Error Correction

Errors in the validation panel are grouped by validation check. To view the products affected by a specific error, select the relevant validation check.  

Selecting an error in the left panel will highlight all foods affected by that error. The colour associated with the error will also be displayed on each affected food. 

Products from the most recent import will populate to the top of the list.

For example, selecting Food Category displays all products with a missing or incorrect food category:

You will see that there is no Food Category for any of the products we uploaded. However, in its place, you will see a Star Icon and Dropdown Arrow:

The Dropdown Arrow will open a list of all Nutritics’ Food Categories for you to manually choose from. 

By clicking the Star Icon,  AI will scan the name, description, and ingredient list of the product and choose the appropriate Food Category for you.

Errors will appear as either blue or orange:

Orange errors: Mandatory issues that must be resolved before your product can be published.

Blue errors: Optional recommendations that help improve your product’s data completeness.

As errors are resolved, you will see the number of errors listed on the Validation Check tick down. 

For example, when all products have a Food Category, you will see a tick next to the Validation Check  all of the errors in this section have been addressed:

When you click on the next Validation Check, this error will disappear as no further actions are required for this category.

It’s important to note that products you are correcting during the import process have not yet been added to your account. They are only displayed temporarily so you can review and resolve any errors identified during the import. 

Once all errors have been addressed, your products will be added to the Ready for Approval section. This is where you can conduct a final review before adding products to your account:

Once you are satisfied that your product data is correct, clicking the Approve button will add these foods to your account.

As with the previous Supplier Portal design, approving a product will add it to your account. For customers to be able to view them on your database, they will first need to be published.

We’ve also made this easier!

In the Validation Panel, you will see a category in the left panel called Ready to Publish. Here you can see a full list of all of the products on your account that have passed all Validation Checks and are ready to be published:

Simply select all of the products that you want to publish and click the Publish button at the top of the panel.

One final confirmation box will appear and when you click the Confirm button, all of the products you selected will be published to your chosen Data Source.

If you have a product that is not required to go through the validation checks, as it is not going to be published,  you can choose Ignore in the validation panel by right clicking on the product:

Once the product is Ignored, the system will automatically apply a ‘Not For Publishing’ tag on the Food Workspace:

Action Required Display

The Choose Columns option allows you to include additional columns to the action required display:

Once all required monitors are chosen, click confirm and this will apply them to the action required display:

Note: We have tested this thoroughly and will continue to do so. We are confident that AI will pick the correct category most of the time. However, with all AI tools, we always recommend that a human verify everything suggested by AI. This is why we don’t use this feature automatically on import. If the AI does make a mistake, you can correct the error by clicking on that food and manually choosing the correct category.

*For errors such as missing ingredient lists, this must be done manually and cannot be automatically populated using our AI to ensure data accuracy.
